If you have an electric or plug in hybrid that is tied to a charging system that bills you, the owner, automatically, you will need to be very attentive to all charges that come through your account so they can be submitted for reimbursement in a timely manner. This is most common with Teslas and their Tesla Supercharging System.
Timeliness of Submitting Documentation
When charges come through your account that were incurred during a guest's trip, you must download the documentation and submit it to us via email within 24 hours of the end of the trip. If you submit it after that 24 hour window, email it to our helpdesk and then also contact us via chat on our website to let us know there's a time-sensitive email for us. Failure to do this can impede our ability to submit the reimbursement request on your behalf within the allowed time for the marketplace.
The only documentation we will accept are PDF statements provided to you directly from the charging system or PDF printouts of the charging system's website showing the applicable charges. We will also accept screenshots of the charging system's app so long as it includes all of the required information.
If we find that the document has been altered in any way or if the documentation is not an original document from the charging system, we will not process the reimbursement request for you.
Information Required in Documentation
When submitting documentation be sure it includes all of the following information at a minimum:
- Date and time of each charging session
- The total cost of each charging session
- Location of each charging session
- Proof that you have paid for the charging fees
- An identifiable number that ties the charges to the vehicle
- If printed from a website, the web address must be present on the document
Deadline for Each Marketplace
It's your responsibility as the owner to be familiar with the reimbursement request deadlines for EV charging fees for the marketplaces your vehicle is listed on.
