Regular Maintenance Scheduling
We will automatically schedule your vehicle for regular service and inspections based on your interval choice. If you don't specify this at the time you enroll the vehicle or notify us thereafter, we will automatically setup an interval of every 6,000 miles with full synthetic oil.
We do not use anything except for full synthetic oil. The primary reason is because we need to minimize down time of vehicles and utilizing a full synthetic oil allows for the vehicle to stay on the road longer between oil changes.
If you are working with your own shop for regular maintenance or if you request that we use a specified shop, they must use full synthetic oil or another type that allows the vehicle to have an interval of no less than 6,000 miles.
If your vehicle allows for tire rotations, these will be done each time the vehicle goes in for service at the same interval as the oil changes. This will maximize the life of the tires and will help avoid uneven wear.
Currently we support regular maintenance intervals of 6,000 miles, 7,500 miles, and 10,000 miles.
When vehicles need to be serviced, we do everything possible to have that service done on-site to avoid transportation fees. However, there are times when that's simply not possible. If a vehicles need to be transported to a shop there will likely be charges for that transportation. This is billed at a flat rate plus a per mile fee. See our Price Sheet for additional details.
When possible, we will utilize roadside assistance for the transportation of vehicles to and from shops, particularly when the service is related to a covered peril in which the marketplace or insurance will cover the cost of the tow.
Transportation Fee Reimbursement
The cost to have a vehicle transported, with the exception of roadside assistance, is never eligible for reimbursement by a marketplace.
Shop of Choice
We maintain relationships with local shops for virtually any vehicle service or repair. By default, we will choose a shop that we work with regularly to perform service on your vehicle. If something is under warranty, we will utilize a local dealership to perform the service. You are, however, always welcome to choose and designate your own shop on a case-by-case basis.
Your Choice for Regular Maintenance Shop
The only service we can automatically schedule with each time is for your regular oil changes, tire rotations, and inspections. To request that we use an off-site shop of your choice, email in to request this and specify your shop of choice along with the address and phone number of the shop. Keep in mind that vehicle transportation charges will apply and remember that we can't wait for service to be completed. The vehicle will be dropped one day and pick up the following day or later, based on availability of our transporters.
Your Choice for Other Service
All other one-off service will be automatically scheduled with the shop that we determine to be the best fit. If you choose to use a different shop, please be sure to notify us immediately to change the scheduling. If you don't notify us before transport for the vehicle is already in motion or has already been completed, you will be responsible for the transport of that vehicle for the original shop.
For any urgent change requests, DO NOT email us. We will likely not see your email in time. You MUST use chat or phone to contact us. Click here for additional contact information.
Service at Our Facility
Whenever possible, we will utilize vendors that perform service at our facility to minimize your transportation fees and minimize your vehicle's down time.
If you're using a shop of your choice as opposed to allowing us to handle the service need, the service CANNOT be done at our facility under any circumstance. All vehicle service that is coordinated by you as the owner of the vehicle or by a vendor that's not on our approved vendor list must be done somewhere other than at our facility.
If you need to coordinate the pick up of the vehicle for service, you can book an owner trip for your vehicle. You can have the shop pick the vehicle up and return it, you must simply have the name of the person who is going to be picking it up for booking the owner trip.
Vehicles Delisted on Marketplace
Hassle-Free Car will handle collecting and providing the needed documentation to any marketplace that might delist the car due to mechanical issues after the issue has been resolved by a qualified mechanic. The mechanical issue must have simply occurred after the date the vehicle was enrolled with Hassle-Free Car.
If an owner chooses to handle the service of their vehicle themselves, whether by repairing it themselves or using a shop in which they are the contact, it is the owner's responsibility to work with the marketplace to have their vehicle delisted. Hassle-Free Car cannot coordinate with a marketplace to have a vehicle re-listed unless the entire process was handled and coordinated by the Hassle-Free Car team.
Opting Out of Automatic Scheduling of Regular Maintenance
The only service that can be opted out of the the tracking and automatic scheduling of regular maintenance including, but not limited to, oil changes, tire rotations, tread depth checks, and mechanical inspections. With the exception of Economy vehicles in which no maintenance is performed except for regular maintenance, no other maintenance or damage repair can automatically be opted out of.
For those who opt out of having Hassle-Free Car track and automatically schedule their vehicle for regular maintenance, they're agreeing to the following:
Automatic Scheduling and Tracking of Regular Maintenance Disabled
Hassle-Free Car will not be tracking and will not automatically schedule any regular maintenance for your vehicle. While we strongly advise against disabling automatic maintenance for your vehicles, we can do so by request of the owner.
This includes, but is not limited to performing oil changes, tire rotations, tread depth checks, and regular mechanical inspections. By doing this, you are solely responsible for the well being and upkeep of your vehicle and Hassle-Free Car may not provide any alerts of notifications for maintenance that's needed on the vehicle.
Non-Regular Maintenance Service Needs
If an issue arises with the vehicle that Hassle-Free Car believes needs to be addressed to ensure the vehicle is safe to be driven, there is no mechanism in place to keep the vehicle from being scheduled for inspection and service at that time and that it will be your responsibility each time to contact the helpdesk and request that the service be cancelled (DO NOT email for urgent requests). The only maintenance function that can be waived proactively is the automatic scheduling of oil changes, tire rotations, tread depth checks, and mechanical inspections and that other issues that arise may be scheduled as needed to ensure the vehicle is kept in a safe, operating condition.
Scheduling for Service
You must schedule service in advance by contacting the helpdesk and notifying them of the times in which I plan to take the vehicle from the lot to perform service. Do this by booking an owner trip. You cannot perform any servicing or maintenance activities, including mechanical inspections, at the facility. The vehicle must be taken off site for this to be completed. Failure to keep the vehicle properly maintained may result in cancellation of the management agreement without notice.
By requesting that Hassle-Free Car does not automatically schedule the vehicle for regular maintenance and inspections that I also agree to hold Hassle-Free Car, it's associates, affiliates, and vendors harmless from any action, vehicle damage, or the like resulting from the vehicle's improper maintenance.
Furthermore, if Hassle-Free Car believes that the vehicle is not properly maintained and that the vehicle may be unsafe to drive, the vehicle may be delisted and trips cancelled without notice.
