No Long-Term Contracts
None of our services require a long-term contract. All services may be cancelled at any time by written notice through email, however we do require that you provide us with 30 days notice if you intend to discontinue any particular service.
Billing & Proration
Hassle-Free Managed & Economy Managed (Full-Time)
All management plans renew on the first of every month and are billed within the first week of that month. Any plans beginning between the 1st and 15th of every month will be billed for the entire month that the plan is beginning in. Any plans beginning between the 16th and the last day of the month will be billed for half of the current month as well as the full fee for the following month. For example, if you choose for your plan to begin on January 5th, you will be billed for the entire month of January. If you choose for your plan to begin on the 25th of January, you will be billed half of January's fee and all of February's fee.
All billing for your monthly management fee is billed and due in the first week of every month. Your credit card will be automatically charged at the time of billing. In addition to your monthly management fee, we will also bill you for all additional fees billed to your renters in the prior month. For example, if 3 of your renters had cleaning fees in the month of January, you will be charged for those cleaning fees on your February bill. The same goes for any other fees we may charge your renters for including, but not limited to, re-fueling fees, cleaning fees, toll charges, parking fees, trip addon fees, late return fees, etc.
All charges are always billed to you, the owner of the vehicle. Hassle-Free Car cannot bill a renter directly and have the payment be directed to us (with the exception of damage reimbursement), however we will facilitate your reimbursement from the renter to you via the marketplace system for all full-time management plans.
Vehicle repairs and vehicle maintenance will be paid by Hassle-Free Car and Hassle-Free Car will then be reimbursed by the marketplace. If the marketplace pays you directly, we will then bill you. If the expense is not a reimburseable item, such as regular maintenance, Hassle-Free Car will typically pay the shop and will then bill you. Each circumstance will be examined individually and we will determine who you are to submit payment to at that time. Regardless, repair and maintenance fees may be charged to your credit card at the time and not included on your monthly bill.
Vehicle Rental Rate Agreement
While your vehicle is under a Hassle-Free Managed plan, you agree to allow Hassle-Free Car to manage your pricing. During the on-boarding process we will examine the marketplace and set a base rate as well as a minimum daily rate, weekly rate, and monthly rate with you, the vehicle's owner. Those rates will be defined in your plan contract. Setting these rates helps ensure a fair marketplace, maximizes your earnings, and helps protect from under-pricing your vehicle for the region.
Hassle-Free Car, at its discretion, will then adjust the rates within the set range based on demand and season.
Cancellation & Refund Policy
All plans can be cancelled at any time, however 30 day's notice is required. When terminating a vehicle from service, the entire final month will be billed to your account upon notice of cancellation. Once the vehicle is picked up and leaves our facility, we will then credit back your account for the prorated amount of the unused remainder of the month, less the 30 day minimum.
For example, if you provide notice notice of cancellation on March 15th, you will be billed through April 14th even if you take your vehicle before April 14th. Additionally, once the vehicle has left our facility, we will credit back the unused time of April 15th-April 30th in this scenario.
Additionally, any outstanding invoices or billable items will become due immediately upon notice of cancellation.
Any refunds due to you upon cancellation can take several weeks to process. The primary reason for this is because all outstanding reimbursement items need to be processed first. Specifically tolls can take several weeks to be processed through your account, the marketplace, etc.
Credit Card Details
For all full-time management plans, the vehicle owner agrees to keep a valid credit card on file with Hassle-Free Car at all times. Failure to do so may result in immediate cancellation of your plan with Hassle-Free Car as well as all trips assigned to your vehicle in the marketplace's system. Visa, MasterCard, American Express, and Discover are the only form of payment accepted. All credit card details are stored with our payment gateway provider only - no credit card data is ever stored within our system at hasslefreecar.com. Any chargebacks submitted by the cardholder to the associated bank will be charged additional fees, as high as $100 or more per incident. All credit card charge disputes should be sent only to email@example.com. Any refunds due will be processed within 7 business days.
Returned Check Fees
If a check or eCheck is returned to us for any reason, typically due to insufficient funds or the account being closed, the customer will be responsible to pay a returned check fee of $30 or 1% of the transaction amount, whichever is higher.
Vehicle Odometer Modification Prohibited
By enrolling a vehicle with Hassle-Free Car for management, you warrant that the odometer on the vehicle has not been tampered with at any time and is correct to the best of your knowledge. Any vehicles enrolled that have had their odometer modified will be terminated immediately and the owner will be charged up to and agrees to pay up to $2,000 in fines per vehicle.
When credit card charges are declined, Hassle-Free Car will notify the vehicle owner immediately. Failure to rectify the issue and provide payment in a timely manner may result in late fees being assessed, up to 5%. Failure to pay charges within 15 days of their due date may result in immediate cancellation of your plan with Hassle-Free Car as well as all trips assigned to your vehicle in the marketplace's system.
Hassle-Free Car's Right to Cancel Trips
It is the goal of Hassle-Free Car to never cancel a trip, however there may be circumstances when this is required, typically due to safety concerns. If it is determined that the vehicle may be unsafe to drive, we will first attempt to have the vehicle inspected by a qualified technician at the vehicle owner's expense. If repairs are needed and there is not adequate time for the repairs to be completed before the car is to begin a trip, Hassle-Free Car may need to cancel the trip. Management fees will not be refunded in such a circumstance.
The Vehicle Owner's Right to Cancel Trips
Vehicle owners permanently waive their right to cancel trips at any point in the future without consent from Hassle-Free Car so long as the vehicle is being managed by Hassle-Free Car. Should you desire to utilize the vehicle for your own personal use, it is your responsibility to ensure it is blocked out on the vehicle's calendar in the marketplace's system. Canceling on renters, no matter how far in the future, is never pleasant and can cause a bad experience with both the marketplace and Hassle-Free Car.
However, should an owner design to cancel a trip for some reason, simply reach out to the on-call firstname.lastname@example.org to discuss a solution.
Marketplace Account Access & Management
When a vehicle is signed up under Hassle-Free Managed or Economy Managed, Hassle-Free Car assumes all responsibility for managing the associated marketplace account as of the start date. This includes complete management of the trips, vehicles, and account information. The account owner also agrees to ensure the Hassle-Free Car team is always able to access the account and will never change account access information without first communicating that to Hassle-Free Car.
However, Hassle-Free Car will not, at any time, change billing information or make any account-level changes without first discussing said changes with the account owner.
In order for Hassle-Free Car team to manage your vehicle, we must be able to maintain direct access to your marketplace accounts at all times, utilizing the shared email address that we provide to you, which will send emails from your marketplace accounts to both us and to you as the owner.
When signing up, you will be required to provide your existing username and password for your marketplace accounts. In doing so, you authorize Hassle-Free Car to access those accounts when needed in order to provide management services. The owner will always maintain ultimate control and ownership of the account and can relinquish access authorization of Hassle-Free Car by terminating their management contract.
Marketplace Account Email Address & Phone Number
For Hassle-Free Managed and Economy Managed plans, Hassle-Free Car may require that a shared email account and a shared phone number be placed on the account so as to provide both Hassle-Free Car and the vehicle owner with access to associated communication. If this is the case, Hassle-Free Car will setup said email account and phone number.
Communication with Renters
For all Hassle-Free Managed and Economy Managed plans, we will communicate with your renters directly on your behalf. We ask that while your vehicle is under management by us that you not reach out to your renters directly. All communication can be viewed by you via the marketplace message feed and should you want to communicate something to your renter, please reach out to the on-call email@example.com at Hassle-Free Car first. Communicating with your renters directly while your trips and vehicles are under the care of Hassle-Free Car can cause unnecessary confusion and create a negative experience.
For all Hassle-Free Single Trip plans, you as the vehicle's owner are responsible for all communication with your renter up to the point of us handing over the vehicle to the renter. We can also be a point of contact for your renters while you're away up to the point of them returning the vehicle to us, but only via our HFC Valet Text Line. At no time will we be able to access your marketplace account and communicate with them on your behalf.
All Vehicle Inspections are simply that, inspections. As they do not include an trip management, we will not communicate with your renters at any time.
Communication with You, the Owner
As a Hassle-Free Car customer of ours, we want to make sure you always have a line of communication to us. Should you need to contact us, you'll be able to by reaching out directly to the on-call firstname.lastname@example.org using a dedicated phone number that we will provide to you at the time that you sign up. We will also provide any documentation or records of your vehicles and trips at your request.
Communication with Marketplaces
For all Hassle-Free Managed, Economy Managed, and Hassle-Free Single Trip plans, you as the vehicle owner may be required to notify the marketplaces that the Hassle-Free Car team is authorized to speak with them on your behalf. This is done as a part of the on-boarding process. Failure to do so will hinder our ability to completely manage your operation and could result in cancellation of your plan and forfeiture of your deposit.
Anything and everything that's done to your vehicle is always documented thoroughly. Trip photos taken before and after trips are always uploaded to an online system hosted by us and made available to you at all times. We also may upload them to your marketplace accounts and will store them in our secure management system.
Offerings May be Altered at Any Time
We reserve the right to change our packages, offerings, pricing, addon options, car seats, etc, without advance notice and at any time. However, we will always fulfill each trip as requested and as booked to ensure the renter's trip is not negatively affected.
Limitation of Liability
Hassle-Free Car procures insurance that provides excess automobile liability insurance up to $1,000,000 per occurrence, with umbrella insurance of $1,000,000 total. This coverage applies to third party property damage claims and/or third party bodily injury claims that arise while your vehicle is in the control of and while your vehicle is in the care of Hassle-Free Car. A separate property coverage limit of $1,000,000 is provided should the driver damage your vehicle while it is in Hassle-Free Car’s drivers’ care, custody and control.
We do not procure insurance for, nor are we responsible for any damage to, loss of or theft of, personal belongings or intellectual property left in the car. These include any belongings not permanently affixed to the vehicle or any other after-market accessories of any kind. It is your responsibility to ensure that you remove any personal belongings from the car before placing your vehicle in the care of Hassle-Free Car.
As with any personal auto insurance policy, additional insurance terms, limitations, and exclusions apply. Additionally, regardless of insurance coverage provided by Hassle-Free Car, the vehicle's auto insurance policy is most often primary on any claim.
By utilizing any service by Hassle-Free Car, you agree to hold Hassle-Free Car harmless of any comprehensive or no-fault claims such as acts of god regardless of when or where the damage occurs.

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Colorado and you hereby submit to the exclusive jurisdiction of the State of Colorado.
